These Terms and Conditions apply to all guests, visitors, and invitees entering Hanlin Lodge property.
1. Booking Terms & Conditions
1.1 Booking Information
- All bookings must include a valid email address and contact (cell) number.
- The person making the booking accepts responsibility for the conduct and compliance of all guests in the booking.
1.2 Payment & Cancellation Policy
- A 50% deposit is required to confirm any booking and must be paid within 24 hours of the booking being made. For the purposes of these Terms, the booking date is the date on which the booking confirmation or invoice is issued.
- The remaining balance must be paid no later than seven (7) days prior to arrival.
- Proof of payment must be sent to info@hanlinlodge.co.za or via WhatsApp to 082 901 9769.
- All payments must be reflected as cleared funds.
- Failure to ensure payment is received and cleared may result in the booking being cancelled or lapsing without notice.
- Cancellations made more than thirty (30) days before arrival will result in the forfeiture of 50% of the deposit.
- Cancellations made within thirty (30) days of arrival, including no-shows or early departures, will result in the forfeiture of 100% of all amounts paid.
- All cancellations must be made in writing.
1.3 Gate Access Code
- The gate access code will only be issued once full payment has been received and confirmed.
- Gate codes may not be shared with unauthorised persons.
- Unauthorised access or sharing of gate codes may result in immediate removal from the property without refund.
1.4 Check-in & Check-out
- Check-in from 14:00.
- Check-out by or before 10:00.
- Early check-ins or late departures may incur additional day fees.
1.5 Minimum Stay
- Weekend bookings require a minimum stay of two (2) nights.
1.6 Occupancy & Visitors
- Maximum occupancy per unit may not be exceeded.
- Visitors not included in the original booking are not permitted without prior written approval.
1.7 Right of Admission
- Hanlin Lodge CC reserves the right to refuse admission or terminate a stay without refund where these Terms and Conditions are breached.
1.8 Indemnity
- Guests indemnify and hold harmless Hanlin Lodge CC against any claims, losses, injury, or damage.
2. Property Rules
2.1 General Safety & Liability
- All facilities are used at guests’ own risk.
- Hanlin Lodge CC accepts no responsibility for injury, death, loss, theft, or damage.
- The lodge is surrounded by open water and natural terrain.
2.2 Environmental & Wildlife Protection
- All wild animals must be regarded as dangerous.
- Game may not be chased or fed.
- No plants, wood, or natural materials may be removed.
- No waste may be discarded in the veld or dam.
- Fishing is catch-and-release only.
2.3 Noise, Behaviour & Children
- No loud noise or music.
- Disruptive behaviour will result in removal.
- Children under 12 must be supervised at all times.
2.4 Fires & Braai Areas
- Fires only in designated areas.
- Damage to firefighting equipment will incur a R2,000 fine.
2.5 Vehicles
- Speed limit is 40 km/h.
- Only licensed drivers may drive.
- Off-road driving is prohibited.
2.6 Firearms, Hunting Dogs & Hunters
- Firearms permitted only with prior approval and must be legally licensed, unloaded, and securely stored.
- No discharge of firearms.
- Hunting dogs permitted by prior arrangement and must be under full control.
- Guests are fully liable for any damage or injury caused.
- Failure to comply results in removal without refund.
2.7 Pets & Lodge Animals
- No pets allowed except approved hunting dogs.
- Resident animals include cats, dogs, horses, chickens, sheep, and ducks.
- Guests enter at their own risk.
- Hanlin Lodge CC accepts no responsibility for allergies, injuries, or damage.
- Children must be supervised.
2.8 Accommodation & Property
- Chalets are serviced daily at 09:00 excluding Sundays and Christian public holidays.
- Guests are liable for breakages, damage, excessive cleaning, and lost keys.
